Terms and Conditions

  • Who your agreement is with: When you book your holiday your agreement will be with The Gamekeepers Cottage (“we”, “us”, “our”). Please read these terms carefully as they set out our respective rights and obligations.
  • In these terms, references to “you” and “your” include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred. These terms and conditions include all guests whose bookings have been made via a third party, including but not limited to Booking.com, Airbnb, Vrbo, TripAdvisor.

1. To book your break

  • Booking: There will be a contract between you and The Gamekeepers Cottage, when we send you a booking confirmation. These terms are part of your contract with us. The person making the booking accepts the contract on behalf of all members of your party and is responsible for making sure they accept the contract; and accepts fiscal responsibility for payment of the booking on behalf of all members of the party. We cannot accept bookings from anyone under the age of 18.
  • Special offers: To claim any special offers, discounts and promotional codes please contact us at info@theoneretreats.com or by calling us on 033 043 3493 prior to making a booking. If you do not, we are sorry we cannot honour these. All discounts, special offers and promotional codes are subject to availability.
  • Who is in your party: When you receive the online check-in form you need to give the names and ages of everyone in your party. Only those people on your booking can occupy our holiday home and anyone not named on your booking will be asked to leave the property. In these circumstances, no refund or compensation will be given. The number of persons in your party must not exceed the specified maximum number of persons as stated on our website for the specific property. You must bring ID with you as you may be asked for this on arrival or during your stay.
  • VISOR: We do not accept bookings from or allow anyone to stay on a holiday park who is or has been listed on the Violent and Sex Offenders Register (or any register which supersedes this), or anyone who is subject to a Sexual Risk Order, Child Abduction Notice or any similar order, court proceedings or register. By making a booking, you are confirming that no one in your party is or has been on any such register, subject to any such order or otherwise the subject of any such court proceedings.

2. The price of your holiday and what it includes

  • Prices: All prices, generated by our dynamic pricing tool, are subject to change and may increase or decrease. The most up-to-date prices for accommodation are available on our website. The price confirmed when you book, determined by our dynamic pricing tool, is the purchase price and will not change unless you alter your booking.
  • Security Deposits: At the time of booking, a £100 refundable security deposit is required. This deposit is in the form of a pre-authorisation on the provided payment card. It serves as protection against damages to the property, its contents, or any other premises-related damage. In the event that a portion of the security deposit needs to be retained, you will receive photographic evidence of the specified damage, along with the associated rectification costs via email. The security deposit process is facilitated by a third-party service provider, Charge Automation. Please note that we cannot be held liable for any delays in the return of the deposit to your account beyond the specified period.
  • Pets Policy: At present, we regret to inform you that pets are not accommodated on our premises. We apologise for any inconvenience this may cause. Please feel free to contact us for alternative accommodation recommendations suitable for your needs.
  • Cots and Highchairs Policy: Kindly note that we do not currently offer travel cots or highchairs as part of our amenities. We apologise for any inconvenience this may cause. Please make the necessary arrangements for these items prior to your arrival. Should you require any assistance or recommendations for rental services, please do not hesitate to contact us.

3. What you need to know before you book

  • Hosting of gatherings, parties, or events within the accommodation is strictly prohibited.
  • Filming & Photography for commercial use is strictly prohibited without prior authorisation.
  • Pets are not permitted within the accommodation premises.
  • Smoking and the use of E-cigarettes are strictly prohibited within the accommodation premises.

4. When you arrive

  • Numbers in your party: The total number in your party (including children and babies) must not exceed the maximum capacity of the holiday home advertised online.
  • Check-in times: We will aim to have your accommodation available from 3pm on your arrival day, however if you think you may arrive after 6pm please let us know. If your accommodation is not occupied by 9am on the day after your arrival day and you have not told us you will be arriving late, we will treat your booking as cancelled and may re-let the accommodation.
  1. When you are on holiday
  • Children: Children remain the responsibility of their parents or guardians at all times and must be supervised accordingly.
  • No smoking: Our accommodations are strictly non-smoking, and the use of E-cigarettes is prohibited within our premises. Should smoking occur inside the accommodation or from hanging outside windows, an additional fee of £80 will be incurred for deep cleaning. Please note that this fee will be applied regardless of evidence provided in such instances, as it may not always be possible to provide evidence due to lingering strong smells in the property.
  • Illegal substances: The Gamekeepers Cottage operate a zero-tolerance policy surrounding the use and possession of illegal substances on any of our accommodations.
  • Barbecues: Barbecues are not permitted anywhere on any of our accommodations. Anyone observed having a barbecue will have their stay terminated with immediate effect.
  • Keys: Should the keys for your accommodation become lost during your stay, there is a charge of £50 from your security deposit.
  • Use of your holiday home: We have the right to enter your accommodation for maintenance purposes or in exceptional circumstances and in emergencies.
  • Your personal possessions: You are responsible for your personal possessions in your holiday home and we are not responsible for any loss, damage, or theft of these items. If you leave personal possessions behind at the end of your holiday, we will endeavour to return these items to you, but this is not guaranteed.
  • Car and other vehicles: Kindly adhere to parking and traffic regulations during your stay. Please note that vehicles are parked at your own risk, and we regret to inform you that we do not currently offer electric vehicle charging points on our premises. We appreciate your understanding.
  • Courtesy at the Accommodation: Our accommodations maintain a family-friendly environment, so we kindly request that your conduct remains considerate, avoiding noise, offensive behaviour, or actions likely to cause distress to others. Please ensure that your behaviour remains appropriate throughout your stay. In the event of any illegal, offensive, disruptive, or inappropriate behaviour, or if it disturbs others, we may request your departure, without refund.
  • Entry: We reserve the right to refuse you and your party entry to our accommodations, or to ask you and your party to leave our accommodation, if you or any member of your party breaches any of our terms and conditions and you will not receive any refund.
  1. When it is time to leave
  • Departure time: You should leave your accommodation by 10am on the day of departure unless a late check-out had been previously agreed. Late check-outs are subject to availability, and we reserve the right to deny a request for this.
  • Leaving your holiday home: At the end of your stay, please leave everything in a clean and tidy condition including the dishes used during the stay. You will be required to pay for any damage you cause to your holiday home during your stay via the security deposit mentioned in section 2. If the damages exceed the £100 security deposit, you will be liable for the remainder of the balance.
  1. If you need to make a change or cancel your booking
  • Alterations to your booking: Once there is a contract, if you need to make changes to your confirmed booking, you must contact us as soon as possible using our email: info@theoneretreats.com or by calling us on 033 043 3493. Whilst we will do our best to assist, we cannot always guarantee that we will be able to meet your requested change.
  • Cancelling your stay: If you wish to cancel your booking 3 days before the arrival date, we can do this.
  • Cancellation by us: Very occasionally, we may have to cancel your booking. If we must do so we will tell you as soon as possible and you can choose either to have a full refund, or accept any alternative arrangements offered to you. We will have no further liability to you for this.
  1. Other important information
  • Website accuracy: We have taken all care to make sure our website is accurate and up to date. However, we cannot accept responsibility for any errors or the results of these. Photographs of accommodation are examples only and furnishings, layout, decoration, and views may vary. We are not responsible to you for unforeseen events or matters over which we have no control.
  • Events beyond our control: Except where otherwise expressly stated in these terms, we are not responsible for events beyond our control. This means any event beyond our or our suppliers’ control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include war and acts of terrorism (and threat of these), civil war, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute and labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport, electricity, gas, and all similar events outside our or our supplier’s control.
  • Changes to the terms: The Gamekeepers Cottage may change these terms from time to time. If we do so, then we will post the updated terms on our website. If you need to contact us, please do so by emailing us at info@theoneretreats.com or calling us on 033 043 3493.
